Help & FAQ

Common questions about using MechCircle. Can’t find what you need? Contact Us.

What is MechCircle?

A workspace for your business — tasks, calendar, notes, and direct communication with your customers, suppliers, and consultants, all in one place.

Do I need my customers/suppliers to already be on MechCircle?

No. You can add anyone as a contact right away. If they’re not yet on MechCircle, you can invite them to connect — and your own personal tools (tasks, calendar, notes) are useful from day one, even before you add anyone.

What does “Connected” mean?

Being Connected with someone means you’ve both agreed (via invite and accept) to communicate directly through MechCircle. Adding someone as a contact doesn’t automatically connect you — connection is always a two-way, deliberate choice.

What’s the difference between Tasks and Calendar?

Tasks is a simple list view of your to-dos. Calendar shows the same tasks laid out by day, week, or month — useful for planning ahead. Both stay in sync automatically.

Is my GST number required?

No. GST is completely optional — many businesses aren’t GST-registered, and that’s fully supported. You can add it anytime from your Company Profile if you’d like.

What’s the difference between the Free and paid tiers?

MechCircle is currently free for everyone — your personal workspace (Tasks, Calendar, Sticky Notes, Quick Links), Communication, and Files are all included at no cost. Paid tiers with additional business document features are planned for the future.

Who can see my messages and files?

Messages and documents within your own company are visible to your team, according to your company’s admin settings. Anything you send to an external Connected contact is visible to them and their own team — never to anyone else.

Are the files in My Files private?

Yes — files in your My Files space are visible only to you. Nothing is shared with your team or your contacts until you explicitly share it (see Shared Files).

Can I scan a drawing or document with my phone?

Yes. When you add a file, you can photograph a drawing, a delivery note or any paper document and the built-in scanner crops and straightens it into a clean PDF or image before saving.

How do I share a file with a colleague, customer or supplier?

Share it from My Files — with a colleague at your own company, or with a contact you’re Connected to. They see it in their own Shared Files area, always the latest version, and you can comment on a file to discuss it in place. Someone you share with can pass it on to their own contacts, and you always see the full list of who has access and who added them; removing a person also removes anyone they added.

How do I add a colleague to my company?

From My Company → People, an admin can invite a colleague by email. They’ll get their own login and personal workspace.

Who can write on the Company Sticky Note?

Everyone at your company. It is a shared board rather than an admin announcement, so anyone can add to it or change it — the most recent save is what everyone sees. Each day shows who last edited it and when, so you always know whose words you are reading. Your own Sticky Note sits beside it and stays private to you.

What is the public contact card?

A small web page holding the details you choose — name, role, phone, email, company address — with its own link you can send in a message. Whoever opens it can save you to their contacts in one tap or scan a QR code. Your date of birth is never one of the fields, so it can’t end up on a public link.

Can I stop sharing a contact card I already sent?

Yes. Generating a new link retires the old one immediately, and switching the card off closes every link at once. Either way the card keeps its settings, so turning it back on is one click. You also choose an expiry when you share it — 7, 30 or 90 days, or never.

Why can’t I put my company details on my contact card?

Company name, address, website and GST number are a company-wide decision — your admin turns them on for everyone’s cards from Company Profile. Your own name, role, phone and email are always yours to choose.

What are Shared Links?

Links that belong to a working relationship rather than to you — a tracking page, a shared sheet, a portal you both use. They sit in their own group in your Quick Links and are shared with the connected contacts you pick, one at a time. Unsharing takes the link off their side and leaves it in yours.

Can I install MechCircle as an app?

Yes — straight from your browser, with no app store and nothing to download. See the install page for the steps on Android, iPhone and desktop. It stays the same MechCircle with the same login: there’s no offline mode, and installing doesn’t add notifications that arrive when it’s closed.
